#108: AI Without the Hype: Why Kalyca Zarich Chooses Claude

Episode Summary

In this episode, Erick welcomes Kalyca Zarich back to the Rise Above Chaos Podcast for a practical conversation about AI without the hype.

Kalyca explains why she believes AI should be used intentionally to reclaim time, reduce administrative friction, and create more capacity for the people and work that matter most. The conversation also tackles a critical concern: if AI only makes us more productive, will expectations simply rise and leave us just as overwhelmed as before?

Kalyca then makes the case for Claude, sharing how a six-month side-by-side test with ChatGPT led her to favor Claude for more advanced workflows. She breaks down features including Skills, Co-work, connectors, Projects, Artifacts, and Dispatch, and offers a clear starting point for anyone who wants to move beyond using AI as a chatbot and begin treating it like a well-trained assistant or AI employee.

Key Takeaways

  • AI is most valuable when it gives time back on purpose - not when it simply raises the amount of work we are expected to produce.
  • Use AI to reduce administrative minutia, triage information, analyze data, and support repetitive processes.
  • Do not completely outsource your voice, creativity, or critical thinking. Those are muscles that weaken when they are no longer used.
  • Kalyca prefers Claude for advanced workflows because Skills allow users to build repeatable standard operating procedures at the system or project level.
  • Claude Co-work expands the platform beyond a basic chat interface by connecting to files, email, calendars, project tools, CRMs, Slack, Zoom, and other systems.
  • The quality of AI output improves dramatically when you provide strong context, clear instructions, trusted source material, and guardrails.
  • AI becomes much more useful when organized around Projects, Skills, connectors, and a reliable source-of-truth database.
  • The goal is not to automate everything. The goal is to use AI intentionally so you can spend more time in your highest-value work and relationships.

Why AI?

Reclaim Time With Intention

Kalyca's interest in AI is deeply personal. After losing both of her parents within six weeks in 2018, she became acutely aware that time is our most finite resource. Her goal is not simply greater productivity. It is to use technology to reclaim time that can be reinvested in family, clients, community, and meaningful work.

The Productivity Trap

Erick raises the concern that greater efficiency can simply create higher expectations. If AI helps us do three times as much work, organizations may eventually expect three times as much output. Kalyca's answer is intention and design: humans still have to establish boundaries, protect reclaimed time, and decide what the technology is actually for.

What AI Should - and Should Not - Handle

  • Good uses: inbox triage, reporting, data analysis, administrative work, research support, and ideation.
  • Use AI as an ideation partner when generating ideas is a zone of frustration - not as a replacement for your own thought process.
  • Protect your voice. Do not allow AI to become the sole author of your communication.
  • Protect critical thinking. Struggle, reflection, and problem-solving remain essential parts of human growth.

Why Claude?

Kalyca's Six-Month Test

Kalyca spent approximately six months using Claude and ChatGPT side by side for the same work. She found Claude's output stronger for her use cases, but the biggest differentiator was Skills - reusable instructions and standard operating procedures that can be built into the system.

Skills Turn AI Into a Repeatable System

A Skill allows you to teach Claude how you want a recurring process handled. Kalyca shared an example in which a process that previously took three to four hours using a sequence of ChatGPT prompts dropped to roughly 30 minutes after she created a Claude Skill for the workflow.

Chatbot vs. AI Employee

For casual questions, recipes, brainstorming, or search-like use, Kalyca says the specific platform matters much less. Claude becomes especially compelling when the goal is to build repeatable workflows, connect systems, schedule tasks, and create AI employees that follow defined processes.

How to Start Using Claude

  1. Start in Settings. Add system-level instructions explaining who you are, how you want Claude to support you, and the guardrails it should follow.
  2. Create truth-telling instructions. Configure Claude to distinguish between what is certain, what is likely, and what is a guess so you know when information needs to be verified.
  3. Set up connectors. Connect the tools that matter to your workflow, such as email, calendar, CRM, Slack, Zoom, Notion, ClickUp, Canva, and other systems you use regularly.
  4. Create Projects. Organize major areas of work or life into named Projects and give each Project enough context to understand its purpose.
  5. Build Skills. Use Claude's built-in Skill Builder to create repeatable instructions for tasks you perform regularly. System-level Skills can be used across Projects, while Project-level Skills stay specific to that Project.
  6. Use a source of truth. Maintain critical facts and hard data in a trusted system such as Notion, ClickUp, Google Drive, or another database that Claude can reference.

Features Discussed

Claude Co-work

Co-work is the desktop application experience that allows Claude to interact more deeply with files and connected tools. Users can give Claude broad access or restrict it to specific folders and systems. This is where scheduled tasks, deeper workflows, and AI-employee-style use become especially powerful.

Connectors

Connectors act like doors between Claude and the other systems you already use. Depending on your setup, Claude can work with email, calendars, CRMs, Slack, Zoom, project-management platforms, and other applications.

Projects

Projects create dedicated spaces for a specific area of work or life. Erick shared examples including a Health and Wellness Center, aging-parent responsibilities, a future South Carolina home purchase, and converting a current home into a short-term rental.

Artifacts

Artifacts are deliverables Claude creates and stores, such as briefs, documents, HTML files, lead magnets, and other outputs that can be retrieved and refined over time.

Dispatch

The Dispatch feature allows the Claude mobile app to pair with Co-work so tasks can be sent to the desktop version while you are away from your computer.

A Real-World Example: Erick's Health & Wellness Center

Erick describes a Claude Project built around four AI avatars: an overall doctor, a nurse practitioner, a nutritionist, and a fitness coach. He uploaded health history and blood-work information, created specialized Skills for each role, and connected the system to Notion as a source of truth for hard data.

The example illustrates how a single Project can combine documents, personas, Skills, and connected data to create a highly personalized support system.

Memorable Quotes

  • "Time is our most finite resource." - Kalyca Zarich
  • "The goal is not to let AI make you busier. The goal is to intentionally reclaim time and decide where that time goes."
  • "Your voice and your critical thinking are muscles. If you stop using them, you lose them."
  • "For casual chatbot use, use the platform you like. If you want to build AI employees, that is where Claude becomes especially powerful."

Final Thought

AI is not automatically a path to more freedom. Used without intention, it can simply accelerate the same habits and expectations that already create overwhelm.

Used deliberately, however, it can remove friction, protect attention, and create valuable margin. The advantage will not belong simply to the people who use the most AI.

It will belong to the people who know what they want the technology to do, what they refuse to surrender to it, and how they will reinvest the time it gives back.
